How do I create an electronic signature with SigningHub?

There are two ways you can e-sign MS Word documents with SigningHub.

Uploading your Word document to the SigningHub platform

This method works with all document forms and will convert it to the secure PDF/A format for signing and security. Here’s how it works:

  1. Create a SigningHub account or log in if you already have one.
  2. Click on “Send for Signature” and select “Upload Document”.
  3. Choose the Word document you want to send for signatures (or sign yourself).
  4. Once uploaded you’ll be taken to the editing page where you can:
    1. Add signature fields for yourself and other signers
    2. Set the signing order if there are multiple signers
    3. Add other fields such as initials, dates or text boxes.
    4. Enter recipients’ email addresses
    5. Choose the type of signature (Basic, AES, or QES)
  5. Once you’re happy with everything click “Send for Signature”.
  6. Signers will automatically receive an email with instructions on how to sign the document online.
  7. Once all signers have completed their signatures, you’ll receive a notification and a copy of the fully signed document.

With the SigningHub for Word app, you can sign MS Word documents securely without ever leaving the application. Here’s how it works:

  1. Download and install the SigningHub for Word app from the Microsoft AppSource.
  2. Open the Word document you want to sign or have signed.
  3. Click on the SigningHub app icon in the ribbon.
  4. Follow the steps similar to the upload method described above:
    1. Add signature fields
    2. Set signing order
    3. Add other fields
    4. Enter recipient email addresses
    5. Choose the signature type
  5. Click “Send for Signature” to initiate the signing process.

Do I need an account to use SigningHub?

Whether you need an account to use SigningHub depends on the type of signature you need:

Basic Signature: For a basic electronic signature (without user registration), you do not need an account. The document is protected with a server e-Seal, but it offers less authentication and security compared with other options.

Advanced Electronic Signature (AES): For AES, you need a SigningHub account. This type of signature involves a unique PKI signing key per user, stronger user authentication, and cryptographically binding the user’s identity with their signature. It offers stronger non-repudiation.

Qualified Electronic Signature (QES): Like the AES, QES requires a SigningHub account. This type of signature provides the highest level of legal recognition and acceptance. They are cross-border usable under the EU (European Union) eIDAS Regulation and rely on government-recognised Certificate Authorities (CAs).
